SignDo Privacy Policy

This Privacy Policy explains how Odd Moose Inc., a Canadian corporation operating SignDo.ai ("SignDo," "we," "us," or "our"), collects, uses, stores, shares, and deletes information when you use SignDo.ai.
SignDo is an AI-powered personal ASL workspace in Early Access.
Please read this policy together with our Terms of Service and Acceptable Use Policy.
1. What SignDo does
SignDo has two main features:
- SLR: you sign on camera or upload a video, and SignDo returns editable written text.
- SLP: you enter text or voice input, and SignDo returns an AI-generated ASL avatar video.
Because SignDo processes media and communication content, privacy matters. We try to keep this policy plain and specific.
2. Information we collect
Account and profile information
We collect information you provide to create and use an account, such as:
- email address;
- password credentials in authentication systems;
- name provided during onboarding;
- country and state/province, if provided;
- account type information, such as individual or organization; and
- support contact details you provide.
Usage and job information
When you use SignDo, we collect information needed to run jobs and manage your account, such as:
- job type and source;
- selected model;
- estimated and charged usage;
- timestamps;
- plan and credit balance information;
- status and error information; and
- support case linkage if you choose to share a job with support.
Content you submit
We collect and process content you submit to SignDo, including:
- camera clips;
- uploaded videos;
- SLP text input;
- SLP voice input;
- editable text results;
- finished avatar videos; and
- support messages and support attachments.
Technical information
We collect technical information used to run and secure the service, such as:
- IP address;
- browser and device information;
- cookie and session information;
- basic logs and audit records; and
- provider and diagnostic metadata related to jobs.
3. How we use information
We use information to:
- create and secure accounts;
- verify email addresses;
- complete onboarding;
- process SLR and SLP jobs;
- deliver outputs;
- meter usage, credits, and billing;
- prevent abuse, fraud, and security incidents;
- troubleshoot support issues;
- maintain, improve, and operate the service; and
- comply with legal obligations.
We also use feature usage, job metadata, performance information, and device and browser information to operate, maintain, and improve SignDo.
We do not sell personal data.
We do not use your media for advertising.
We do not currently use your submitted videos, audio, or other media to train SignDo-owned AI models. If that changes, we will update this policy and tell users first.
4. Third-party technology / AI service providers
To operate SignDo, we send submitted content to third-party AI processing providers. Submitted content may include videos, text, voice input, and related job data needed to perform the translation.
Our current provider is Sign-Speak. According to Sign-Speak's own privacy policy at https://sign-speak.com/legal/privacy, Sign-Speak may retain submitted content and use it to assess, improve, and train its own products and AI models.
We cannot and do not promise that providers will not retain, review, or learn from submitted content. You should not submit content you are not willing to have processed this way.
These providers process content so SignDo can generate text results and avatar outputs. Providers may change over time.
Avatar videos returned by SignDo are AI-generated.
5. Where data is stored
Odd Moose Inc. is based in Canada. SignDo stores and processes data on servers located in the United States and Canada.
SignDo stores data in:
- Cloudflare R2 object storage for media and related stored inputs/outputs; and
- a private PostgreSQL database on our server for account, job, billing, support, audit, and related records.
6. Cookies and sessions
We use cookies and similar session technologies to:
- sign you in;
- keep you signed in;
- protect accounts and sessions; and
- operate SignDo across
*.signdo.aisubdomains.
These cookies are necessary to run the service.
If we add non-essential analytics, marketing, or similar technologies later, we may provide additional notice.
7. Retention
We retain data for limited periods, subject to legal, support, billing, and security needs. All time periods below are maximums. They are not guarantees that content will remain available for the full period.
Raw input media
We keep raw input media, including camera clips, uploaded videos, and SLP input text or voice, for up to 24 hours after processing.
For active Plus subscribers, we keep raw input media for up to 7 days after processing.
Job history
We keep the newest 10 job history results for up to 30 days.
For active Plus subscribers, we keep the newest 50 job history results for up to 30 days.
Job history may include editable text results and finished avatar videos.
You can delete individual history entries sooner.
Provider and diagnostic metadata
We keep provider and diagnostic metadata for up to 7 days.
Support shares
If you choose to share a specific job with support, that shared job is retained until the support case closes or the share is revoked or expires, whichever happens first.
Billing and account records
We keep billing, payment, tax, audit, account, and legal records as long as needed for accounting, legal, compliance, dispute, fraud-prevention, and recordkeeping purposes.
Deletion mechanics
Deletion is enforced by recurring sweeps and storage lifecycle backstops. Because of backups, queue timing, system copies, and deletion scheduling, removal may not be immediate, but we aim to remove data within the stated maximum windows.
8. Support access
Admin and support access to user data is restricted and audited.
Authorized personnel may access data only when needed for operations, security, abuse prevention, legal compliance, or support that you request.
If you do not share a job with support, we do not treat that job as support-accessible merely because you opened a support case.
9. Sharing and disclosures
We may share information with:
- third-party AI processing providers;
- hosting, storage, security, email, and payment service providers;
- professional advisers;
- law enforcement or regulators when legally required; and
- successors in a merger, sale, financing, restructuring, or similar transaction.
We do not sell your personal data.
We do not share your media for advertising use.
10. Security
We use administrative, technical, and organizational measures designed to protect information.
No system is perfectly secure. We cannot guarantee absolute security.
You are responsible for using a strong password, protecting your devices, and keeping account credentials confidential.
11. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of certain personal information, or to object to or limit some processing.
You may also be able to:
- delete individual history entries in the product;
- revoke a support share you previously granted;
- request account closure or deletion by emailing [email protected]; and
- contact us to request help with your data.
Some requests may be limited when we need to keep data for legal, billing, fraud-prevention, security, or operational reasons.
12. Children and age limits
SignDo is not directed to children below 13.
You must be at least 13 years old to create or use a SignDo account. If you are under 18, or under the age of majority where you live, you may use SignDo only with permission from a parent or legal guardian.
If we learn that we collected personal information in a way that breaks this age rule, we may disable the account and delete data as required by law and our records obligations.
13. International users
Odd Moose Inc. is a Canadian company, and SignDo is available to ASL users worldwide.
If you use SignDo from outside Canada or the United States, you understand that your information will be processed and stored in Canada and the United States, where privacy laws may differ from those in your home country.
Where local law gives you rights over your personal information, such as rights of access, correction, deletion, portability, or objection, we will honor requests made to [email protected] regardless of region, subject to legal and operational limits.
Our baseline privacy posture is based on Canadian law and practices applicable to us, together with other laws that apply to SignDo.
14. Changes to this policy
We may update this Privacy Policy from time to time.
If we make a material change, we may provide notice by posting the updated version, updating the effective date, using in-product notice, emailing you, or requesting renewed acceptance where appropriate.
